In many environments, the intercom is part of a wider access-control and lift-control process.
A visitor requests entry, an authorised person communicates with them and, where appropriate, the integrated system can release the relevant door or gate and provide temporary access to an authorised lift destination.
For example, a Level 1 tenant may authorise a visitor into the building lobby while the integrated system makes Level 1 available through the lift for a predetermined period.
The visitor receives access to the destination they have been authorised to visit—not unrestricted access throughout the building.

The person answering may not be sitting beside a dedicated handset.

That flexibility can be particularly useful where reception functions are shared, staff move through the building or entry points need to be supported outside normal operating arrangements.
Remote capability should be designed deliberately, with appropriate user permissions and network security—not enabled simply because the product offers it.

Central management is useful when it solves an operational problem.
For organisations with multiple locations, intercoms can become another collection of unrelated systems unless a consistent approach is established.
Where the requirement justifies it, cloud-managed or centrally administered intercom environments can simplify configuration, user management and support across distributed entry points.
